RETURN POLICY

A non-refundable resource fee will be charged to students semesterly. All fees paid are non-refundable and non-transferable except for refundable deposit.

A security deposit of RM500 for loaned materials is made by students upon registration. The deposit will be fully refunded upon graduation when students have shown that they no longer have any outstanding payments due to The One Academy. Otherwise, the deposit will be used to cover any outstanding debts, and only the balance, if any, will be refunded.

If a student fails a course, then that course must be repeated. The student must register for the repeat course during “Course Registration Week” (refer to the academic calendar for specific dates). Payment of fees as stated in the Course Registration Form must be fully paid within 7 days of semester commencement. Students who fail to register by the due date will be charged a late registration fine of RM200. Students will be permitted to attend classes only when the lecturers have received evidence of proper registration and that payment has been made. If a student registers for a course but does not attend the class, it does not automatically result in deferment from the course. Fees paid for the course is non-refundable and non-transferable.

When circumstances do not permit you to carry through your programme plan, you may defer course(s) during your semester of studies.

Applications within the First Two Weeks

If you wish to defer your course(s), you may do so during the first two weeks of classes or during “Course Registration Week”.

  • Complete the Application for Course Deferment Form and attach with supporting documents, i.e. medical report.
  • Please identify the semester and the course you wish to defer and provide a valid reason for your request.
  • The completed form is to be submitted/emailed to Student Administration Office at Level 9 / toa.sra@toa.edu.my.
  • Student Admin Personnel will seek approval from the respective Academic Head of Department.
  • You will be notified on the outcome via call or email from Student Admin Office. If your request of deferment is approved, a letter of notification will be issued.
  • Course deferment made during the first two weeks of the semester will not appear on your transcript. Course fees paid for the deferred courses will be carried forward to the following semester.

Applications from Third Week Onwards

Course deferment will not be accepted after the 2nd week of the semester commencement, except for exceptional circumstances. Fees cannot be deferred after the course deferment application period.

If you stop attending a course that you are not permitted to defer, you will receive a fail grade for the course on your transcript. The fail grade will affect the GPA and CGPA calculation.

If you register for a course but do not attend the class, it does not automatically result in you being deferred from the course. Fees paid for the course is non-refundable and non-transferable.

Students will be expected to follow the new tuition fees structure/syllabus if there has been any change during deferment period.

Please note that tuition fees charged for the relevant programme is according to the class and it may increase during the period which students have deferred from their previous commencement of studies. Students will be subject to the latest course syllabus or assessment policy that is applicable upon starting their studies.

During the course of study, there may be the possibility of students considering the option to withdraw from the College. The reasons may vary, however, they are often related to financial issues, family issues, health issues or academic issues and may consequently affect students’ studies which may further lead students to view withdrawal as the only option available.

As the College is concerned with the welfare of its students, students are encouraged to speak with the Student Counsellor before making such decision.

Procedures and application for withdrawal are as follows:

  • Student who wishes to discontinue or withdraw from The One Academy is required to fill in the Completion/Withdrawal Form together with the supporting documents.
  • Student is required to attend the Exit Interview to meet with the Student Counsellor. The Student Counsellor will then fill in the recommendation part of the form and forward it to the Registrar.
  • Student will then proceed to complete clearance procedures at the Student Services Department, IOSC, Library and Finance Department. The clearance process is subject to 3 working days.
  • The student is required to surrender library books loaned (if any) and any other properties belonging to the College. The student is responsible for the replacement cost of any of the College’s property lost or damaged by him/her.
  • The completed Clearance Form is required to be submitted to the Student Registration Counter located at Level 2. The SRA personnel will acknowledge receipt of the slip and return the bottom portion for student’s reference.
  • The processing will take approximately four (4) weeks. Student will be notified via SMS by Finance Department when the refund is ready.
  • Refundable deposits will be refunded if there is no outstanding payment owing to The One Academy by the student. Deposits refund will be made payable to the name of the parent/guardian/sponsor (if applicable), as specified in the Application Form.
  • The date of receipt of the student’s Withdrawal Form by the Registrar is the official date of withdrawal.

Note :

  • Student who leaves the College without following the proper procedures will be considered as unofficially withdrawn.
  • Failure to attend class is not equivalent to a withdrawal.
  • If a student withdraws before full completion of programme at The One Academy but later wishes to re-apply for a new programme at the College, he or she shall be considered a new applicant. Therefore, he or she shall be required to complete a new application form, submit all relevant documents and pay the registration fee.
  • When a student completes a programme at The One Academy and wishes to apply for a new programme at a later date, the registration fee is applicable. The student will be required to complete a new application form and submit all relevant documents.
  • When a student completes a programme at The One Academy and subsequently enrolls for a new programme, the registration fee shall be waived.

After the student has successfully completed his/her programme of study, he/she is required to complete the Completion/Withdrawal Form and obtain the clearance from all the relevant departments.

Deposits are refundable less any deduction for loss or damage of property including penalties and all outstanding payments (if any).

Student is required to apply within 4 months from the last day of their programme to be eligible for the refund of deposits.

For International Students, passports must be submitted to Student Services Department (SSD) for student pass cancellation 21 working days before departure.

Please take note of the following:

  • Student must check their results and ensure all courses are passed before submitting the Completion/Withdrawal Form and Student Clearance Form to the Student Registration Counter located at Level 2.
  • The processing time of this application will take approximately four (4) weeks upon the receipt of student’s application form (excluding Saturday, Sunday and public holidays). Failure to do so may lead to delay of refunds.
  • All payment of refunds will be made payable to the name of the parent/guardian/sponsor (if applicable) as specified in the Application Form.

The One Academy reserves the right to terminate students for serious breach of discipline or a breach of visa conditions, including non-attendance or unsatisfactory progress. Fees paid will not be refunded in such cases.

Exclusion is automatic for students who fail a major course 4 times with an appeal included. In the event that a student is terminated from the college due to unsatisfactory progress or disciplinary/academic misconduct including non-attendance, there will be no refund for any fees paid. Students may apply for re-admission to the programme after one semester of exclusion.
